2017 Booth Set Up Instructions

Dear Plano International Festival Participant,


THANK YOU for your participation and for helping us to celebrate the 13th PLANO INTERNATIONAL FESTIVAL on Saturday October 14, Haggard Park, downtown Plano.
Haggard Park is located on 15th and Avenue H, downtown Plano – Downtown DART Station
We would like to communicate some details with you. Please e-mail us back to confirm that you have received and read the information below
1-Parking
If you arrive before 9:00 a.m., it should be plenty of parking nearby. Parking adjacent to the park is available only for performers and Sponsors.It’s  not available to cultural booth, community service and business vendors. We will have eight parking spaces marked with orange cones temporarily reserved for vendors to unload materials.  Please move your vehicle after unloading, as quickly as possible, as a courtesy to other vendors.
2-Check in
There is a booth check-in table near the parking lot park (please see map http://www.planointernationalfestival.org/festival-map-and-parking/)  Please come to the check-in table between 8:30am to 10:00am. When you check-in, you will receive your organization name sign, then choose your table based on first come, first served basis. Please make sure you occupy the number of table(s) you have paid for. Please do not set your booth on the sponsors area marked in the map
3- Tables, chairs, signs, booth location
All vendors will be provided with one or more tables (6 ft long) depending on your application and the payment. Please make sure you only occupy the number of table(s)you have paid for. Every table comes with two chairs.  Choosing your table(s) is based on first come, first served basis. You are welcome to bring a pop up canopy and please bring a table-cloth to cover your table (s). We do not provide electricity however there are few electrical outlets at the park. We suggest you to plan your display without the use of electricity.
Plano Police Department, City of Plano 911, Plano Fire Rescue, and Plano Animal Services will have their tables/area on the West side of the Park by Avenue H. Please do not set up your booth on tables that are assigned to PPD in the map
League of Women Voter’s table by the Stage (gazebo area) and another table in the general booth area.
Please do not set up your booth on tables and area identified Sponsor only
4- PIF’s ZERO WASTE Programs have been awarded the Environmental Star of Excellence award by the City of Plano in  2009, 2011, 2012, 2014, and 2015 for diverting most of the waste for reuse and recycling. Reducing the waste going to landfills is only possible with your help: that involves flattening your cardboard boxes and taking them as well as other recyclables such as bottles, cans, etc to the nearest Educational Waste Station, located throughout the park. Try to use environmental friendly wrapping materials for your goods. AVOID STYROFOAM in all possible shapes!!! Look out for our Green ambassadors to help with properly sorting the waste. You will recognize them at their neon green Zero Waste t-shirt.

Packing materials- don’t use Styrofoam and other plastic packing materials; consider compostable peanuts or other reusable or recyclable packaging materials.

Hand-outs- reduce or eliminate paper hand-outs.  Prepare sign-up sheets to generate contact lists for follow-up email and electronic communications.  Save brochures and catalogs for the hottest leads of the day; or request an address and follow up with them later. 

Giveaways- while they can be a great way to promote your company, service or product, consider the probable end-life of your item after the event.  Limit the number of items you give away.  Hand out items that will be appreciated and used for a long time.  Provide items made from sustainable or recycled sources or recyclable materials.  Refrain from distributing individually packaged items; items packaged in bulk produce less waste.  

Beverages- Bring your own reusable water bottles or beverage containers. 

Make sure that all of your materials are properly sorted into the receptacles for recyclable materials or food waste.

5-Prize-drawing
We will have prize drawings for the public periodically throughout the whole event. Therefore, we will ask for your generosity in donating gifts, souvenirs, services, restaurant coupons, tickets to shows, concerts, and even lessons as prizes.

We will announce your organization/business name on stage before we draw your gift to increase your publicity. If you would like to make a donation, please let us know ASAP at  info@planointernationalfestival.org. Please bring your items the day of the festival and give them to Mrs. Deborah Gates at the check-in table. Make sure your gift has your name/organization marked clearly.

Just for your information the festival headquarter’s tent is located behind the Gazebo and decorated with balloons.

6-Children’s passport to the World sponsored by Rotary Clubs of Plano
This is a very important activity for children visiting the festival, so please take a   few minutes to learn about it so you are informed and know what to tell if children stop by your booth for answers.
Children will “travel around the world” and learn about the countries participating at the Festival. The countries in the children’s passport this year are:  Argentina, Brazil, Chile, China, Ecuador, England, India, Indonesia, Ireland, Japan, Malawi, Mexico, Palestine, Pakistan, Peru, Scotland, Sri Lanka, Sweden, Turkey, Ukraine, and USA, and Zimbabwe.
If your display represents any of the above countries please bring a stamp (self-ink) or stickers for the children’s passport. We will provide to the booth representing the countries listed above, a poster indicating the country name and the answers to the questions asked in the passport. Please display the poster at your booth and try your best to make this “travel around the world” a unique learning experience for the children; it should be as pleasant and enjoyable for you and the children.
The children will be able to color the country flags at the booth “Coloring the world flag” sponsored by the ArtCentre of Plano, located at the restored historic Saigling house. There will be posters with flags and tons of crayons for the children to have fun while learning!
On the first page of the passport there are instructions on how to complete it. You may also have some passports and event programs at your table for distribution to attendees.
7-The Wellness fair
is located at the Courtyard Theater just West of the Park right after the Food Trucks, in case you are asked about it. The Wellness fair offers free health screenings, free flu shots, blood drive, and more from 10am to 1pm
8-The Fitness stage
is located at the Saigling house’s patio from 10am to 1pm. For the fitness program and demonstration visit our website.
9-New this year: STEAM
for teens at the Saigling house’s patio from 1pm to 5pm. Children can learn about science , robotics, chemistry, chess and much more.
10-Foreign film screening at 2:30 pm at the Courtyard Theater
featuring Song of Lahore from Academy and Emmy Award-winning director Sharmeen Obaid-Chinoy, in partnership with Indie meme and the Plano Symphony Orchestra. For more information visit our website.
11-Help us to Promote the Festival

You can use the e-mail below to invite them. Also, you can download flyers and posters from the web.We have e-flyers in English, Chinese, Russian, Korean, Vietnamese,  and Spanish, so if you need them let us know or go to our website or Facebook and share them. Also a 30 second promotional video in English, Below the YouTube links in case you would like to share them.

Tour the world and improve your wellness at the Plano International Festival. The area’s largest cultural event is celebrating its 13th anniversary with food, fun and entertainment from over 100 cultures. The fun kicks off with the area’s only outdoor naturalization ceremony. An ethnic food court, multicultural music and dance performances, hands-on and educational kids’ activities, cultural displays, and an art exhibit round out the fun. Admission and parking are free. Saturday, October 14 from 11am to 5pm, downtown Plano’s Haggard Park, Come experience the sights, sounds and tastes of the world! A fitness and wellness fair will offer free flu shots, health screenings for blood pressure, diabetes, hearing and more @ the Courtyard theater from 10am to 1pm www.planointernationalfestival.org
